Build the candidate's compliance pack

Every check completed and evidenced before a candidate can start — interview, ID, right to work, DBS, references and more — logged on the Temporary Worker Compliance Checklist (Annex C).

All evidence must be securely retained and available for audit. The DfE highlights identity, Right to Work, qualifications, employment history, references and DBS as core to agency worker safeguarding, and expects confirmation that these checks are complete before a supply teacher starts.

Raise the short order form

Complete the RM6376 short order form with the school and RRG, using the guidance notes if you're unsure on any section. RRG signs before the candidate is confirmed.

Confirm & deliver

Candidate confirmed to the school, booking logged with RRG, and timesheets kept visible to us throughout the placement.

Report & reconcile

Log the booking on the GCA MI template weekly, using the rate card for the correct fee line, so RRG can report accurately to the framework and to you.

Before you confirm a booking, you must provide both the school and RRG with a completed Temporary Worker Compliance Checklist (Annex C). RRG needs full visibility of the candidate pack below before any candidate starts.

Invoice breakdown — what every PAYE invoice must show

Framework rules require every invoice to break the Total Charge Rate into its component parts, so nothing is hidden from the school. For PAYE workers, that means showing each of the following as a separate line:

  1. 01 Pay rate to the temporary worker
  2. 02 Holiday pay (Working Time Regulations)
  3. 03 Apprenticeship Levy
